Code – This is an identifier associated with all workflows, stages, tasks and subtasks, depending on your environment’s setting, they will be auto-calculated or you’ll have to create the codes manually.
Standard – This is a basic activity type in Advvy. Subtasks can not be added to standard activities.
Complex – This is an activity type that allows users to add sub-tasks to it. Think of it as a “bucketing system” to group-like tasks. Complex activities are not completed via a drop-down menu like Standard tasks, they are considered complete when all sub-tasks associated with it are complete.
Baseline Reporting – This signifies a flag for Baseline reports. Select Yes on these activities or subtasks if you’d like to include them in a Baseline Report. Baseline Reports are used as a standard report to show the completeness of a campaign.
Blocked – This represents that the task is “blocked” or can’t be completed until another task Is complete. It’s best to set this up after the workflow is imported.
Blocker – This represents that the task is a “blocker” for another tasks, and that task can’t be completed until this one is complete. It’s best to set this up after the workflow is imported.
Calculation Based On – “This field is related to how Due Dates are calculated in Advvy. Users can select from the following options to determine when due dates begin calculating:
Date Brief Received –The date the brief was received.
Start Date – The Start Date of the campaign.
End Date – The End Date of the campaign
Stage Due Date – The due date of the Stage
Date Record Created – The date the record (usually the campaign) was created in Advvy”
Client Activity – This functionality is still being built out in Advvy.
Calculation Method – How the due date calculates, either Before or After the option selected in the Calculation Based On the field.
Health Status – Four Types
- Controlled (Green)
- At Risk (Amber)
- Critical (Red)
- Closed (Blue)
Health statuses are calculated based on how close an activity is to its due date. By default, a task or activity will be Controlled (green) if the due date is greater than 5 days from today. It will turn from Controlled to At Risk(Amber) when the due date of that task is within five days. The task will turn to Critical (red) when the task’s due date is within three days or is overdue.
Description – A description that you can add to your task or activity to give users more context.
Information Link – A link that you can add to a task or subtask, it will appear as a small “i” in the workflow.
Information URL – This field can be ignored as it relates to the Deliverables section.
Media Type – ”This is related to Media Type Specialties in the workflow and should be filled out in Advvy and not imported. This field allows you to associate a Media Type Specialty with a task or subtask. It’s used during Advvy’s auto-assign functionalities to match users with the same specialties as the task.”
Media Type Segment – Tasks and subtasks can be related to a media type segment for reporting and filtering purposes. Media Type Segments need to be existing in Advvy all ready to be added and imported with a workflow.
Number of Days – This is related to due date calculations and refers to the number of days that should be calculated. All calendar days are included in this count.
Max Occurrences – The max amount of times a task or subtask will reoccur in a campaign.
Order – The order of the task or subtask will appear in the workflow. Complex Activities and Subtasks have separate order numbering when importing a workflow.
Order Complex – The code behind the Order field, it only needs to be filled in when importing workflows.
Parent Activity Definition – All subtasks need to be related to a parent activity definition, this is the complex tasks that subtasks are related to when importing a workflow.
Recur On – The day of the week the recurrence of a task takes place.
Recurrence Delayed – Users can choose if they want to delay the recurrence until someone activates it in the workflow.
Recurrence Direction – The direction the recurrence will occur for recurring tasks. Can choose Preceding or Following, relating to whether the recurrence happens before or after the due date of the task or subtask.
Recurrence Frequency – Relates to how often the task occurs, users can choose Weekly or Monthly.
Report for Parent – This functionality is still being built out in Advvy.
Report for Portal – Users can choose if the task should appear in the Advvy Client Portal.
Report For SLA – If a task is part of the Service Level Agreement (SLA) with the Client, the tasks or subtasks can be flagged for reporting purposes.
Role – All standard tasks and subtasks need to be associated with a role. Complex tasks are not associated with a role.
Role Locked – Only users with a role that matches the role of the task or subtask can mark the task complete.
Stop Split – This is an outdated field and should not be used.
Stage – Stages are bucketing systems that house a collection of tasks and subtasks. Use stages to organize the different steps in your workflow.
Start Date Calculation Method – This is used to calculate the start date of a task. Users can choose Weight in Days or Weight in Hours and represents the amount of time needed to complete the task. For example, if a task should take three days to complete, you can set the workflow to display the start date the task needs to be started on to be completed on time.
Weight – This is used to calculate the start date of a task. It’s the number of hours or days used to calculate the start date.
Workflow – The title of the workflow associated with the task or subtask.
Workflow Deliverable – Deliverables need to be added to the system prior to uploading the workflow, it’s a lookup reference. Workflow Deliverables display as a title that links to an internal or external source to provide more information on a task or subtask. Most often, they link to sources of information, like a template, needed to complete the task.
